Submission Policy

The Submission Policy tab defines what creators must provide when they apply to your event and what they must provide when they submit products to a round. These are workspace defaults that guide the creator portal and are carried forward into new rounds.

Submission limits

Minimum items per submission

This number defines the smallest number of products a creator must add before a round submission can be saved or sent. Use 1 when one product is enough, or increase it when every round entry must contain several products.

Max products/images per submission

This is the maximum number of products a creator can add to one round submission. Each product has one image in the current workflow, so the limit also controls the maximum number of product images for that submission.

Notes character limit

This sets the maximum length of the Additional information field in the creator submission. The same limit is checked in the portal and by the server.

Image upload limit per item (MB)

This controls the maximum file size for each product image. The default is 2 MB. A creator receives an upload error when an image exceeds the workspace limit.

Product requirements

Require product URL on every item

When enabled, every product must include a live store, marketplace, or product destination URL. Enable this when visitors or reviewers need to open the product directly.

Require price on every item

When enabled, every product must include an L$ price. Disable it only if your event accepts showcase entries that do not have a price.

Require additional notes

When enabled, the creator must enter information in the additional notes field. Use it for event-specific instructions, product context, or details that do not fit in the product fields.

Allow GIF uploads for submission items

When enabled, creators can upload GIF images in addition to PNG, JPG, and WEBP. When disabled, GIF files are rejected and only PNG, JPG, and WEBP are accepted.

Require store marketplace URL

This applies to the creator's store information inside a round submission. When enabled, every creator must provide a marketplace or storefront link.

When enabled, every creator must provide a main social or portfolio link with the submission.

When enabled, every creator must provide a second public social or portfolio link. Leave this disabled unless the event genuinely needs two links from every creator.

Application form requirements

These switches apply to the public creator application before the creator reaches the approval queue. They are different from the submission requirements used for an individual round.

Require brand name on application

The applicant must provide a public brand or store name before sending the application.

Require store SLURL on application

The applicant must provide the Second Life location for the store. This is useful when the review team needs to inspect the creator's in-world location.

Require store marketplace URL on application

The applicant must provide a marketplace or storefront URL during onboarding.

The applicant must provide the main social or portfolio link used by the event team during review.

The applicant must provide a second public link before the application can be submitted.

These application requirements affect new applications. They do not approve or reject an application automatically; the event team still reviews the completed application.

Submission edit lock

The Submission edit lock controls when creators stop being able to change an existing round submission.

  • Lock on event start — creators can continue refining an existing submission after enrollment closes, but the submission locks when the event begins.
  • Lock on enrollment close — creators can edit only while enrollment is open. The submission locks as soon as enrollment closes.

Choose the option that matches your review schedule. A lock protects the material that reviewers and the public gallery are preparing.

Saving the policy

The policy fields are saved with the main Save settings action in the Settings page header. New rounds inherit the current workspace policy. Check the creator portal after saving if you changed a required field or a submission limit.

Practical recommendation

Before opening applications, decide which identity links are mandatory. Before opening a round, decide the item, category, image, price, notes, and payment rules. Changing a policy during an active round can change what creators are required to complete.
